DATA PROCESSING STEERING COMMITTEE
November 7* 1983
Chairman, Bryce Weeks* called the Computer Steering Committee to
order on Wednesday, December 79 1983, at 10:10 a.m. The following
persons were in attendance:
Phil Shealy
Bryce Weeks
Eileen Harland
Noreen Thompson
Joyce Healey
Bryce motioned for the minutes of the November 1, 1983 meeting be
accepted and were seconded by Joyce. Eileen then reported on the
status of the conversion to the System/38 with the new dates to follow:
Application
1. Finance System
2. Student Fund Accounting
3. Property Tax System
4. Payroll System
5. Building Maintenance
6. Fixed Assests/Inventory
7. Building & Zoning Permits
Expected Completion Date
January 1* 1983
January 1, 1983
January 15, 1983
February 19 1983
Due to time constraints involved with the conversion all existing
System/34 applications will be brought over to the System/38 with
little modifications and will be re —written after all items are
converted. The Electronic Spreadsheet has just arrived and been
installed. Classes will be given in the near future on use of the
software. The word processing software has been installed and is
proving successful. Eileen suggested we purchase a letter quality
printer and the committee agreed. The School District would pay for
the printer on a pro —rated use basis. Pam Hummell has lent the Borough
her personal IBM PC for testing potential software for the engineering
department. Her PC does not have enough memory for the applications so
the committee agreed to purchase the additional memory.
Discussion then turned to the Data Processing Use Agreement. Phil
suggested that a plan similar to the receptionist billing could be
worked out. Noreen also suggested that an hourly rate or a monthly fee
could be developed that take all of the charges into account. The
changes need to be discussed now for next fiscal year and the budgeting
process. It was agreed by the committee that the use agreement needs
to be reviewed annually.
Joyce reported that the systems analysis would be completed on
December 19* 1983 and a report would be made to the School Board on
January 10, 1983. Noreen expressed her concern with controlling Data
Processing requests. Joyce will review all School District requests
before they are presented to the committee. Any problems that can not
wait for committee approval will be given to Joyce first and then to
Eileen. The meeting for December 15, 1983 will include the City,

Hospital. School District, and Borough and IBM will be here to answer
any questions relating to computers and their capabilities.
The next meeting has been scheduled for January 119 1983. There
being no further business, the meeting was adjourned at 11:20 a.m.
Respectfully submitted,
