FY2023-03D Amendments To Data Processing Series and Eliminating The Childcare Assistance Office Series

FY2023-03D A RESOLUTION OF THE ASSEMBLY OF THE KODIAK ISLAND BOROUGH AMENDING THE KODIAK ISLAND BOROUGH RECORDS RETENTION SCHEDULE AND CENTRAL FILING SYSTEM TO REFLECT AMENDMENTS TO THE DATA PROCESSING SERIES AND ELIMINATING THE CHILDCARE ASSISTANCE OFFICE SERIES WHEREAS, Kodiak Island Borough Code 2.40.120 provides for a records management, program creation and administration, and approval of the Records Retention Schedule (RRS) by resolution; and WHEREAS, the Borough Deputy Clerk, serving as the records administrator, consulted with the Borough Clerk, Information Technology Director, and the Borough Attorney to finalize the proposed amendments to various departments records series; and WHEREAS, it is in the best interest of the Kodiak Island Borough to amend the RRS to reflect changes in the Information Technology (formerly Data Processing) Series and to implement that change to securely destroy existing IT records which exceed the new retention period; and WHEREAS, the Childcare Assistance Office ceased operations in Kodiak in 2013. As the office has been closed for over seven years, all records are now deemed to have surpassed the retention limits and the statute of limitations applicable to any potential claims. Consequently, it is no longer necessary for this series to be included in the RRS. NOW, THEREFORE, BE IT RESOLVED BY THE ASSEMBLY OF THE KODIAK ISLAND BOROUGH that the Borough Assembly formally adopts and integrates Exhibit A which reflects revisions to the Information Technology (previously known as Data Processing) Series. Additionally, Exhibit B pertaining to the Childcare Assistance Office Series will be eliminated, while the remainder of the Borough Records Retention Schedule shall remain unchanged.
